The Clean Energy Branch provides leadership and direction to help transition the electricity, building, and transportation sectors to clean energy, and efficient energy use. The Branch focuses on policies and programs that help achieve the Province’s clean energy and greenhouse gas (GHG) reduction goals, while maximizing benefits to Nova Scotians by promoting local energy production, system reliability and equity.

 

 

About Our Opportunity

 

We are looking for a Secretary 3 to provide quality administrative support in a dynamic workplace. We are looking for someone who is highly organized, pays attention to detail, and is an effective communicator. We need a teammate who is dependable, quick to learn new systems and tasks, and can work in a dynamic fast-paced environment with multiple competing tasks that need to be managed and prioritized effectively.

Primary Accountabilities

 

  • Support the daily operation of the office of the Executive Director and Clean Energy Branch
  • Contribute to the development of administrative work standards
  • Composes/prepares correspondence on behalf of the Branch
  • Manages, coordinates, and controls the Executive Director's electronic calendar
  • Coordinates/arranges meetings, including logistics, negotiation, and organization
  • Assists in coordinating the division's budget, monitors forecast documents
  • Manages, coordinates, and controls computer and other equipment requirements for the Branch
  • Assists in coordinating communications with internal and external partners and contacts
  • Organizes travel and accommodation requirements
  • Other Office duties as required

Qualifications and Experience

 

This may be the right opportunity for you if you have successfully completed an office administration program with 4 years of related experience or the equivalent combination of training and experience. You possess a broad range of knowledge relating to the functions, activities, policies and practices of executive government offices. You are dedicated to high standards of quality with proven initiative, integrity, judgement, decision making abilities, and communication skills (verbal and written).  You are resourceful, reliable and have a high degree of organizational skills, which are required to determine priorities with minimal supervision in a busy environment.  Essential skills include advanced computer skills using Microsoft Office (Word, PowerPoint, Outlook and Excel), ability to create and manage processes and other efficient office management practices. A high degree of confidentiality, sensitivity, discretion and judgement are essential. You must be able to effectively respond to high volumes of work and work independently with minimal supervision.

Equivalency

 

An equivalent combination of training, education and experience will be considered. Applicants relying on education and experience equivalencies must demonstrate such equivalencies in their application.

 

Equivalencies which may be considered include, but are not limited to, several years of progressive experience in an administrative role leading to the support of senior officials.

Working Conditions

 

  • Normal work week is 35 hours/week, 7 hours/day.
  • May be required to work overtime on occasion.
  • The majority of time is spent in a comfortable office setting with frequent opportunity to move about.
  • High concentration of visual demands for proof reading and entering data into a computer database, giving close attention to detail.
  • Pressures to meet deadlines with attention to accuracy.

Additional Information

 

This is a term, full-time position with a projected end date of June 15, 2026.

 

Note that the status of the position (term/temporary) is dependent on the start date of the successful candidate and the overall duration of the vacancy, in accordance with the collective agreement.

Pay Grade:  CL 22  

Salary Range:  $1,934.21 - $2,139.34 Bi-Weekly
