About Our Opportunity

Under the direction of the Associate Deputy Minister, the Executive Administrative Coordinator provides executive level administrative support and coordinates a broad range of functions including scheduling, correspondence, budgeting, invoicing, and planning of events. The Executive Administrative Coordinator gathers, analyzes, and tracks information, assesses options, and makes recommendations where appropriate.

 

This position acts as a primary contact internally including staff and senior officials and externally including external agencies, media and public, in a highly confidential environment. The Executive Administrative Coordinator also provides operational support to the Deputy Minister and Minister to ensure seamless coverage during periods of planned and unexpected absences.

Primary Accountabilities

Tracking of data and processes, typing and proofreading correspondence and material, creating spreadsheets, and maintaining calendars.

Developing and maintaining a variety of spreadsheets to track critical information

Completing file management

Maintaining a bring-forward system for appropriate follow-up by the incumbent

Responding to a wide variety of calls consistent with the areas of responsibility and making appropriate referrals on matters outside the scope of the position.

Qualifications and Experience

As our successful candidate, you hold a minimum of 3 years of related experience, in addition to one year of a commercial/business course. An equivalent combination of education/training and experience will be considered.

You have experience and competency in an automated environment, with proficient and accurate typing, highly proficient in Microsoft applications, especially Word and Excel, and data entry skills. You have excellent time management and organizational skills which allow you to produce quality work while meeting deadlines. In addition, you have strong interpersonal and communication skills (both written and verbal) which assist you in building positive relationships with others. You possess sound judgement and tact, and you respect confidentiality. You value excellence in client service, have demonstrated problem solving skills and enjoy working with people. You work well independently and in team environments, and you apply the concepts of equity, diversity, and inclusive practice to all areas of your work.

We will assess the above qualifications using one or more of the following tools: written examination, standardized tests, oral presentations, interview(s), and reference checks.

Working Conditions

Normal work week is 35 hours/week, 7 hours/day

May be required to work overtime on occasion

Regular need to read and analyze information and significant time using a computer monitor

Must balance multiple priorities and the demand for accuracy and attention to detail are critical

Pay Grade:  EC 06 

Salary Range:  $2,122.91 - $2,653.63 Bi-Weekly
