About Us


The Speaker’s Office is responsible for implementing and maintaining all administrative programs, policies and procedures, budgeting and human resources which pertain to the Nova Scotia House of Assembly. The Speakers Office’s client departments include the three Caucus Offices, Leaders Offices, Hansard Reporting Services, Legislative TV, Legislative Library, House of Assembly Operations, Legislative Counsel, and the Office of the Ombudsman. The Speakers Office is also accountable for the payment of all Indemnities, Allowances and Expenses for the Members of the House of Assembly and Members of the Executive Council as provided for by legislation, regulation and government policy.

About Our Opportunity


As the MLA Claim Administrator, your principal responsibilities are MLA claim administration and general administrative support to the Office of the Speaker. 

Primary Accountabilities


This is the sole position and operates independently in performing a specialized function, Claims Administration, within the finance and administration area of expertise.  As Claims Administrator, you will take lead responsibility in examining, reviewing, developing, adjusting, reconsidering, recommending and processing claims valued at approximately $4.2 million, in accordance with established policy and procedure which includes the House of Assembly Management Commission Regulations.

MLA claim administration involves reviewing and processing MLA expense claims within an acceptable timeframe (7 days) and according to House of Assembly Management Commission (HAMC) Regulations and Act. This includes reviewing for proper documentation and coding to appropriate financial accounts. There are 55 members who usually submit one Constituency Office claim, multiple direct-pay-to-vendor bills, and at least two travel claims per month. In addition, there are Constituency Assistant claims, Living Allowance claims and Leader claims. On average there may be 200 claims per month.

The incumbent must be comfortable working under pressure, as the claimants expect a timely response and quick once they submit their claim(s). An added challenge is when the claimant’s submission lacks important required documentation, which slows the review and approval process. The nature of the work often requires you to question / challenge claimants in positions of higher authority if policies and procedures are not followed. The Incumbent is the principal liaison with the MLA regarding their expense claims and answers many queries regarding the process, often face-to-face.

As the MLA Claims Administrator, you will report to the Director of Administration and Operations, Office of the Speaker.

Qualifications and Experience

This may be the right opportunity for you if have three years of related experience or an acceptable combination of training and experience.

As the ideal candidate you have previous experience processing expense claims and accounts payable. You demonstrate professionalism and confidence in your communication (written and verbal), with the ability to pay attention to fine details and stay focused on repetitive functions. You possess effective organizational and prioritizing skills to work effectively, and harmoniously, in a very busy office.

The ability to build trust and maintain confidentiality is essential, as is the ability to work well with minimal supervision, under stressful conditions and tight deadlines. You possess a strong initiative with a demonstrated history of excising sound judgement.

While not required, it is considered an asset if you have previously worked in a government department; have an understanding of the House of Assembly and Legislative Services; have familiarity and knowledge of SAP.

Pay Grade:  EC 03 

Salary Range:  $1,582.35 - $1,977.94 Bi-Weekly
