About Us

 

The Department of Infrastructure and Housing designs and constructs public buildings and delivers housing programs.  The Department is responsible to deliver vertical infrastructure projects valued in excess of one million dollars or otherwise characterized as having heightened complexity and risks. The Department also promotes safe and secure communities by working with partners across the province to build strong, affordable, and suitable homes for Nova Scotians with low and moderate incomes.  The Department also manages federal infrastructure programs to facilitate the delivery of eligible cost shared projects throughout Nova Scotia.

About Our Opportunity

 

The Department is seeking an Office Administrator to support the work of Housing Nova Scotia. The ideal candidate has office management or administrative experience. As the Office Administrator you will provide managerial leadership to administrative and professional teams, are detail-oriented, organized, and confident in a position with a high level of responsibility, autonomy, and competing priorities. The ability to communicate effectively and work independently as part of a team while adapting to a constantly changing work environment is key. A strong candidate will also have experience in managing relationships, internally and externally, to ensure continuous efficient and effective business operations.

 

Primary Accountabilities

 

 Include:

 

  • Oversees all general office duties including office and equipment requirements, technology, supplies and subcontractors, as required.
  • Management of an administrative professional team, supporting executive level management.
  • Contributes to the advancement of the organization’s information needs by managing a record and correspondence system in accordance with the records classification and retention system.
  • Management support for information access requests through Freedom of Information and Protection of Privacy legislation (FOIPOP). 
  • Development and management of employee onboarding and offboarding policy, practices, training, and communication. 
  • Management and oversight of the organization’s Occupational Health and Safety program (OHS). 
  • Oversees compliance and updating of internal operational policies.
  • Petty cash management, including tracking and filing receipts and reconciliations.
  • Leads efforts to identify and acquire emerging technologies in conjunction with ICTS/NSDS.

Qualifications and Experience

 

This may be the right opportunity for you if you have several years of directly related experience combined with a Bachelors’ degree, an equivalent combination of training and experience may also be considered.

 

You have relevant experience in financial and human resource planning and execution. You have managed budgets and been responsible for forecasting and reporting. You have managed human resource activities including recruitment, training, retention, and performance management. You have been responsible for planning and reporting and possess strategic orientation and strong ability to take positive action.

 

You are an exceptional communicator (written and verbal) with strong negotiation, presentation, analytical and facilitation skills to successfully build support within the organization. You have excellent relationship building skills, with experience building and maintaining relationships with both internal and external stakeholders.

 

You bring a creative and innovative approach when making recommendations. You enjoy working in a fast-paced environment. You have strong computer skills, specifically with SAP and Microsoft Office.

 

Experience in change and project management are considered assets in applying for this position.

Working Conditions

 

Most of your work is in a comfortable office environment. You may be required to travel to sites on occasion. There is a need for you to balance competing priorities and meet strict deadlines.

Pay Grade:  EC 10 

Salary Range:  $2,783.77 - $3,487.73 Bi-Weekly
