Currently, eight Canadian provinces and territories and the federal government organize energy and mining promotional, regulatory, science and information management functions under the authority of one Minister.

About Our Opportunity


As a Secretary 2, you will be the lead administrative resource for the Regulatory and Strategic Policy Division and will collaborate with other administrative leads within the Business Development Corporate Services Branch (BDCS) and across the Department. You will be responsible for overseeing Divisional financial transactions, including the processing of invoices, and are a key resource in coordinating the Division’s budget.

Primary Accountabilities


A typical day in the role could include any of the following duties:
 

  • Preparing routine and non-routine correspondence, memos, and reports
  • Coordinating the Director’s electronic calendar
  • Preparing agendas and accurate minutes/notes for routine senior management meetings, such as the Monthly Directors Forum
  • Responding to incoming calls, emails, and other inquiries
  • Making changes to the division’s budget, based on direction from the Director and/or Manager
  • Ordering goods and services, ensuring proper procurement procedures are followed
  • Processing invoices for payment
  • Other duties as assigned
Qualifications and Experience


1 year business course plus 3 years of related experience. An equivalent combination of training and experience will be considered.
 

In addition to the above, you must:
 

  • Possess excellent communication and interpersonal skills,
  • Have proficient typing skills and a sound working knowledge of computers,
  • Have a proficiency using the Microsoft Office suite of programs and Outlook,
  • Possess initiative and good judgement,
  • Have excellent organizational and administrative skills, and a thorough knowledge of secretarial procedures,
  • Be organized and able to prioritize a diverse workload,
  • Possess proofreading skills – writing and grammar.
     

In addition to the above, the following would be considered assets to your success:
 

  • Knowledge of the Nova Scotia Department Energy and Mines
  • Experience with SAP

This is a Term employment opportunity with an anticipated end date of June 4, 2021. The appointment status (‘term’, ‘temporary’ or ‘casual’) is dependent on the start date of the successful candidate.

Pay Grade:  CL 18  

Salary Range:  $1,571.23 - $1,758.00 Bi-Weekly
