The Department is responsible for a broad range of social services including those under Child Youth and Family Support (CYFS), Employment Support (ESS), Income Assistance (IA), Homelessness and Supportive Housing, and Disability Support Program (DSP).

About Our Opportunity


The Secretary provides administrative support to the Child, Youth and Family Supports (CYFS) team consisting of Directors, Program Coordinators and Specialists. In this key role, you will ensure efficient and effective office procedures are administered in a timely manner to support the CYFS program mandate. You are an essential member of our team, helping to keep our office operations running smoothly.


Primary Accountabilities


A few of your key responsibilities include providing support for International Adoptions, Adoption Subsidies, Foster Care, Child and Youth Caring programs, and Exceptions to Policy requests. In addition, you will coordinate electronic calendars; arrange meetings, travel accommodations and prepare agendas.  You will also:


  • Prepare various correspondence related to adoption, foster care, and children in care programs;
  • Requisition cheques to cover budgets, grants, training and other costs associated with programs;
  • Review, sort and distribute mail;
  • Respond to inquiries from the public, agencies, and departments; and
  • Maintain accurate data and statics.


Qualifications and Experience


You have a one (1) year business course and a minimum of three (3) years of secretarial/administrative support experience.


You are a collaborative team player and have demonstrated proficiency in Microsoft Office Suite and are familiar with STAR/STOR. Attention to detail and a high level of accuracy in your work is essential. You must use a great deal of judgement when handling telephone inquiries because of confidential matters.


You must demonstrate the ability to work independently in a busy and challenging environment, along with the ability to exercise sound judgment around issues requiring a high degree of tact and diplomacy. Excellent organizational, communication (written and verbal) and interpersonal skills are essential to your success in this role.


You are a self-motivated individual who works well independently and participates fully in a team environment. You possess exceptional organizational skills and the ability to manage competing priorities.


We will assess the above qualifications and competencies using one or more of the following tools: written examination, standardized tests, oral presentations, interview(s), and reference checks.




An equivalent combination of training, education and experience will be considered. Related equivalencies may include, but are not limited to:


  • A completed related bachelor’s degree
  • Four (4) years of related experience

Working Conditions


Most of your time is spent in a comfortable office setting. You may occasionally be required to move/lift light objects such as office supplies, equipment, and files. You will have daily contact with the public, various Government Departments as well as other local Agencies and Institutions.

Pay Grade:  CL 18  

Salary Range:  $1,579.09 - $1,766.79 Bi-Weekly
