A day in the life of a Secretary


Reporting to the Director, Housing NS, you provide a wide range of secretarial and administrative support services to the Director and staff in the District Office as required. Responsibilities include: scheduling of appointments; preparation of confidential letters; internal office billings; recording and sorting of all correspondence; and ordering supplies.


You will ensure the day to day operations and administrative functions of the office operate effectively and efficiently.  You will provide a senior level of confidential administrative support and assistance, and will facilitate communication and expedite information flow internal and external to the office, liaise with other Departments and/or Agencies, attend to a variety of corporate administrative requirements and detailed processes including procurement, and office and facility management as needed.


What makes a great Secretary


One-year business course plus a minimum of three years'’ experience in a client services oriented environment; or an acceptable equivalent.


You must possess strong organizational, administrative and prioritization skills with the ability to multitask to meet competing demands, priorities, and deadlines; able to work independently with limited supervision and harmoniously as a team member in a busy, collaborative, challenging client-centered environment.


You have well developed interpersonal and communication skills in order to effectively and tactfully respond to inquiries and to interact effectively with staff and clients. Diplomacy, discretion, sound judgement and confidentiality are critical as you must have demonstrated experience handling sensitive or confidential information. Must be able to effectively respond to a high volume of work, be detail oriented and function with minimum supervision. Must have demonstrated proficiencies in the following: Word, Excel, PowerPoint, Outlook, and filing/retrieval systems with excellent data entry skills. You also have highly developed communication skills (written and verbal) as you are required to prepare routine correspondence and respond to inquiries.


Experience with SAP along with knowledge of Departmental organizations, policies, procedures, programs, and services would be assets.



Pay Grade:  CL 18  


Salary Range:  $1,510.00 - $1,689.00 Bi-Weekly


This is a bargaining unit position initially restricted to current civil service employees represented by the Nova Scotia Government Employees Union (NSGEU).
