About Our Opportunity


The Senior Executive Administrative Coordinator is responsible for leading and coordinating a broad range of activities and functions to ensure the efficient and effective operation of the Executive Office. The incumbent is responsible for liaising, developing relationships, planning, and coordinating activities to support departmental programs and services. The person gathers and analyzes information, assesses options, and makes recommendations as appropriate. The work of the job contributes to a positive perception of Government's agenda, policies, and activities, and the successful implementation of programs and services.
 

Primary Accountabilities


The Senior Executive Administrative Coordinator is required to demonstrate analytical thinking, leadership, interpersonal skills, appropriate independent judgement and decision-making skills that are necessary to support the Executive Office. Using sound priority and time management skills as well as effective interactive communication, you will ensure appropriate and timely responses to all communication (internal/external and verbal/written), scheduling/meeting requests, workload planning, and coordinating work with other executive administrative coordinators/assistants. You will maintain up-to-date knowledge of government practices and policies to deal with and decrease the amount of time that Executives spend on routine matters such as office enquiries, correspondence, and requests at the senior administrative level. You will demonstrate adaptability and flexibility, attention to detail (especially proofreading, punctuation, grammar), outcome focus, teamwork and collaboration and Intercultural and Diversity Proficiency.
 

Qualifications and Experience


As the successful candidate, you have completed a recognized one-year office administration program and have at least three years of senior level administrative experience.

In addition to the above, you are receptive to feedback and can prioritize multiple tasks under tight deadlines. You have a high degree of professionalism, tact, diplomacy, and consistently exercise discretion and confidentiality in managing information, as well as the ability to maintain composure in stressful situations. You are a self-starter who appropriately and proactively initiates tasks to ensure they are completed in a timely and efficient manner. Proficiency with MS Office and Outlook is required.

Understanding of the political and bureaucratic significance of issues and documents dealt with by the department, and the ability to exercise sound judgement in alerting the senior executives to critical information are key in this role. 

We will assess the above qualifications and competencies using one or more of the following tools: written examination, standardized tests, oral presentations, interview(s), and reference checks.

 

Equivalency


An equivalent combination of training, education and experience will be considered. Equivalencies may include but are not limited to:

  • Completion of a 2-year diploma and 2 years of related experience
  • Completion of a related Bachelors degree and 1 year of related experience
  • At least 5 years of related experience.

Working Conditions

 

  • Normal work week is 35 hours/week, 7 hours/day.
  • May be required to work overtime.
  • Majority of time is spent in a comfortable office setting with frequent opportunity to move about.
  • High concentration of visual demands for proof reading and entering data into a computer database, giving close attention to detail.

Pay Grade:  EC 07 

Salary Range:  $2,289.42 - $2,861.78 Bi-Weekly
