About Our Opportunity


The Visitor Experience Coordinator is integral to providing a world-class welcome and the highest standards of visitor services to thousands of visitors annually. As the front face of the Gallery, the Visitor Experience Coordinator organizes the daily activities at the Welcome Desk including reception, admissions and revenue collection, group and rental bookings and other administration, while providing a friendly and welcoming visitor orientation to the Gallery.


The Visitor Experience Coordinator will be well informed on aspects of the Gallery’s offerings and operations to provide accurate information to the general public on the phone, through email, and in-person. Working with the Manager, Visitor Experience, contributes to the maintenance of admissions systems and processes to ensure that front of house is operating efficiently and effectively.

Primary Accountabilities


  • Lead and respond to the day -to- day operation of the Welcome Desk ensuring procedures and system are adhered and maintained to meet the needs of visitors and administration to the Gallery. 
  • Processes admission transactions and prepares and submits daily bank deposits and accounting reports through the POS/e-commerce platform (Shopify)
  • Ensure that visitors are informed of gallery offerings and works on view while using a variety of engagement techniques to provide a world-class welcome and introduction to the Gallery
  • Work with manager and Gallery Shop Coordinator to oversee the Visitor Experience team’s daily workload and daily tasks; provides training on front of house procedures. 
  • Support administration functions such as bookings for participants in Gallery programs, camps, classes, and events; ensuring that primary/secondary/postsecondary education groups, special interest groups, and groups through tourism and cruise ship operators are properly booked, processed, and greeted; assisting with bookings for venue rentals; generating membership cards/packages
  • Liaise with the Security Office to ensure commissionaire/security coverage is requested as per opening hours, special events and rentals and maintains effective communication for emergency response and visitor safety.

Qualifications and Experience


To be successful in this role, you will have 3 years of related experience, training and/or certification in tourism, hospitality, museum/gallery studies, or retail environment.  


As the successful candidate, you are dependable and have excellent organizational skills that allow you the ability to thrive in a fast pace working environment with minimal supervision. You are detail orientated and are able to prioritize complex and competing requests, ensuring accuracy and that critical deadlines are met.  


You participant fully in team environments, building productive relationships and are open to learning new skills to compliment your existing competenciesYou exercise professional discretion, establish effective working relationships, confidentiality, exercising tact and diplomacy.


You are proficient using Microsoft Office programs (Word, Outlook, Excel, Power-Point), and have exceptional communication skills (written and verbal). You are also proficient with cash handling and record keeping.

Assets considered for this role include: 

  • An understanding of the visual arts
  • A sound general knowledge of local culture and heritage
  • POS/e-commerce platforms such as Shopify
  • Customer relationship management databases such as Raiser’s Edge
  • A second language 
  • First Aid

Working Conditions


This opportunity requires an individual who can work over a seven-day week including evenings, weekends and holidays.

Pay Grade:  CL 18  

Salary Range:  $1,626.82 - $1,820.19 Bi-Weekly
