At the Safety Branch of the Department of Labour, Skills and Immigration (LSI), we are responsible for delivering effective and efficient regulatory management for the protection of the public and workers’ safety through education, outreach, inspection and enforcement, equipment registration, permits, and licenses.  Our staff of over 115 employees, located throughout Nova Scotia, do this by using the Pathways to Compliance to enhance compliance of provincially regulated employees, employers and contractors through setting, promoting, verifying and enforcing requirements under various pieces of legislation.

About Our Opportunity

 

If you are detail oriented, and enjoy working in a fast-paced environment, we have an exciting opportunity for you to explore as an Administrative Clerk with our Occupational Health and Safety Division.

 

The Administrative Clerk supports the Regional Director and field officers, by planning, organizing, and providing a full range of administrative support for Occupational Health & Safety Division operations, services, and programs. The Administrative Clerk ensures smooth workflow and activities to ensure seamless, effective delivery of professional client service to OHS Division staff and external clients.

 

This is a key position ensuring a coordinated, timely, and appropriate response to Program/service inquiries, concerns/issues and supporting the staff of the Occupational Health and Safety Division employed in the Western Regional offices.

Primary Accountabilities

 

  • Attends to appropriate protocol needs in interaction with internal staff, external stakeholders and the general public, and often deals a wide variety of confidential and sensitive matters in a challenging environment.
  • Ensures that all administrative and financial requirements are met in accordance with approved budgets, government/department policies and office procedures
  • Receives, classifies, reconciles, consolidates, and/or summarizes documents and information; and performs standard and non-routine administrative data processing tasks.

Qualifications and Experience

 

This may be the right opportunity for you if you have 4 years of related experience.   An equivalent level of education, training and experience will be considered.  Previous administrative experience in an OHS environment would be considered an asset.

  • You possess strong interpersonal and organizational skills with an ability to plan and prioritize work.
  • You have exceptional communication skills (written and verbal) with an ability to address and manage client dissatisfaction professionally and courteously.
  • You work well independently or as part of a team, depending on the nature of work involved. 
  • You have exceptional organizational skills when following procedures and the ability to complete multiple tasks during times of high work volume and client inquiries. 
  • You have excellent time management skills identifying top priorities and pay direct attention to critical tasks to ensure deadlines are met. 
  • You exercise sound judgement and maintain strict confidentiality. 
  • You must be proficient in Microsoft Software products such as Word, Excel, Outlook, PowerPoint and general Internet research.

 

 

Assets considered for this position:

 

  • A general familiarity with database programs
  • Knowledge of Amanda software

Working Conditions

 

Normal work week is 35 hours/week, 7 hours/day.

May be required to work overtime on occasion.

Pay Grade:  CL 18  

Salary Range:  $1,684.00 - $1,884.17 Bi-Weekly
