A Day in the Life of a Secretary


You will work closely as part of the clerical team to provide administrative secretarial support for staff. Duties involve providing back-up for other clerical team members and receptionist duties including answering the phone and receiving and greeting visitors to the Department. Key responsibilities include typing a wide variety of documents including confidential correspondence and reports, setting up new cases, typing confidential client notes on the Integrated Case Management System as well as filing / faxing / copying and scanning and retrieving archive files when required.


You will be required to meet tight operational deadlines in preparing Court documents, transcribing confidential information from dictaphone, as well as maintaining a Bring Forward system; initiating items for follow-up, processing incoming and outgoing mail, responding to general inquiries and emergencies, referring calls, scheduling meetings, and managing and maintaining records. You must to be willing to work flexible and adjusted work hours. Must be able to lift file boxes onto and off of shelving in storage rooms.


What Makes a Great Secretary


One year commercial course plus a minimum of two years' related experience or an equivalent combination of training and experience. You will have proficient skills in the use of a variety of Microsoft packages such as Word, PowerPoint/Corel Presentations, E-mail/Outlook. A working knowledge of the ICM system would be considered an asset. You possess the ability to work independently in a busy and challenging environment, exercising sound judgment around issues requiring a high degree of tact and diplomacy. Excellent organizational, communication (written and verbal) and interpersonal skills are essential. Must be able to demonstrate good team skills.

Pay Grade:  CL 14  


Salary Range:  $1,434.12 - $1,579.09 Bi-Weekly


This is a bargaining unit position initially restricted to current civil service employees represented by the Nova Scotia Government Employees Union (NSGEU).
